Check the actual PDF before sending your CV
A repeatable review for content, page layout, links and application versions.
Inspect the exported file
The editor preview is a useful working view, but the file you submit is the document the employer receives. Open that exact PDF after exporting it. Check the first and last lines of every page, the position of headings, and whether a short bullet has been split awkwardly. Look for an extra blank page or a section stranded at the bottom.
Read the file at a normal viewing size before zooming in. If you need magnification to read ordinary body text comfortably, remove content before reducing the type further. Check contrast in a simple print preview and avoid relying on colour alone to distinguish headings. A visually attractive page still needs a clear route through names, roles, dates and evidence.
Check text, links and instructions
Try selecting and copying a paragraph into a plain text editor. Read the resulting order and confirm that characters, dates and punctuation remain understandable. This is a useful basic inspection; it does not certify compatibility with every recruitment platform. If an application portal extracts fields from your CV, review those fields directly rather than assuming the import is correct.
Test your email address and every public work link. Confirm that a portfolio does not require your private session and that the destination is the intended page. Then return to the vacancy instructions: accepted file type, upload size and any naming convention may differ. Where the employer requests a different format, follow that requirement instead of treating PDF as universal.
Keep a usable version trail
Use filenames that distinguish the role, language and date without including sensitive identifiers. Keep an editable master and a separate copy of the version submitted. Record which vacancy received which file. This prevents an old profile, another employer’s name or an outdated contact detail from slipping into a later application.
For the final content pass, compare the PDF with your records rather than reading it from memory. Check qualification names, dates and any numerical claims. Read the opening profile aloud to catch vague or unfinished sentences. If possible, ask another person to identify the target role and your strongest evidence from the document; confusion points to a concrete editing task.
Use a short release checklist
Create a small checklist you can reuse for each submission: correct role and employer, verified dates, current contact details, working links and an opened final attachment. Add any special requirement from the vacancy. Keep it short enough to use every time; a long list that you skip is less helpful than a focused final review.
Once the file passes those checks, stop making unneeded cosmetic changes immediately before the deadline. Save the submitted copy and note the date. If you discover an error later, you can identify the affected version and decide how to correct it using the employer’s stated application process.
